Disclosure on the Use of Personal Information
This disclosure on the use of personal information is provided, in compliance with article 13 of EU Regulation 2016/679 (below referred to as “Regulation”), by Userbot S.r.l. [LLC], with registered office at Via Vincenzo Monti 79/2 Milano (below referred to as “Userbot”), acting as Data Controller.
In this disclosure, we will describe the purpose and methods used by Userbot to collect and process your personal information, what information categories will be used, what are the rights of the concerned parties and how said rights can be exercised.
1. Personal Information Categories
Userbot will use your personal information collected when the contract was finalized and during the contractual relationship. As an example, Userbot will acquire your personal and identification information (for example, first and last name or company name, date of birth, tax ID number or IVA [Value-Added Tax] code, address or registered office), some contact information (for example, telephone number and/or email address), your bank details (ex. IBAN) or other necessary payment information.
Acquisition of the aforementioned information is necessary to finalize the contract and issue the requested service; in its absence, we will not be able to execute the contract and provide the service. The provided personal information will be used by Userbot exclusively for the purpose and within the limits indicated in the following paragraph.
2. Purpose and Legal Ground for the Use of Personal Information
Userbot will use your personal information, in compliance with article 6, paragraph 1, letter b) of the Regulation to create and manage the contractual relationship and to periodically send an informational newsletter on Userbot activities. As an example, your information will be used for accounting purposes within the scope of the contract.
Furthermore, Userbot will use your information, in compliance with article 6, paragraph 1, letter c) of the Regulation, to comply with legal obligations such as for example, tax-related obligations related to the contract.
3. Third-Party Categories That Are Allowed to Receive Your Information and Purpose of Transmission
Userbot can communicate some of your personal information to third parties that participate in the activities related to managing your contract. Specifically, your personal information can be notified to external companies that offer administrative and logistic services to Userbot and to external consultants; said subjects will process the information as Data Supervisors on behalf of Userbot.
A list of Data Supervisors can be requested by emailing to amministrazione@userbot.ai.
Furthermore, your information can be notified to third parties as fulfilment of legal obligations, to Public Administration agencies, and to credit institutions used by Userbot to process payments. The aforementioned subjects will process the information as independent Data Controllers. Under no circumstances, your personal information will be released to undetermined subjects.
4. Preservation Period
Userbot will process your personal information only for the time necessary to achieve the aforementioned objectives.
Specifically, for reasons related to the execution of the contract, Userbot will use your information for the entire duration of the contract and until contract-related obligations or fulfilments remain pending and will store your information for a period of 11 years following said term in order to comply with legal obligations and allow Userbot to defend its own rights. For purposes related to legal obligations, Userbot will use your information until needed in order to comply with said legal obligations.
5. Information Transfer Outside the European Union
Your information can be transferred outside the European Union by service providers used by Userbot for activities related to the management of business relationships. Said transfer will be regulated, in agreement with the service providers, through standard contractual clauses adopted by the European Commission with ruling 2010/87/EU and any subsequent modifications or alternatively, based on an adequacy decision by the Commission or on any other instrument allowed by reference laws. You can obtain evidence on where your information was transferred and a copy of said information by emailing to amministrazione@userbot.ai.
6. Rights of the Concerned Parties
As concerned party, you can exercise the following rights:
- request and obtain evidence in regard to the presence of your information at Userbot and in regard to the processing of your personal information by the company as well as gain access to it;
- request and obtain modifications and/or corrections of your Information;
- request and receive copy of your digitally-processed Information in a commonly-used, structured, and legible format sent from an automated device; you can also request the transfer of your information to another Data Controller;
- request and obtain the cancellation or limitation to information processing if said information is not necessary for the aforementioned purposes and if the preservation period indicated in the preceding paragraph has expired.

We hereby inform you that Userbot has appointed a Data Privacy Supervisor (DPO) that can be contacted at dpo@userbot.ai.
We finally inform you that, in compliance with current laws, you can submit any complaints regarding use of your personal information to the Data Privacy Supervisor.
